Hospitality and event staffing in Tampa
A banquet for 400, a conference week, a wedding on Saturday. Hospitality staffing fills the roster by the shift with people who have worked a service line before, so your managers run the event instead of covering stations.
When hospitality employers call
- An event this week is bigger than the roster
- Season started and the hiring hasn't caught up
- A conference or group booking stacked the calendar
- Housekeeping is short and rooms aren't turning
- A caterer needs servers and bartenders for one night
- A kitchen is down a dishwasher or prep cook again

Booking staff for an event
- Send the run of show. Date, venue address, call time, end time, headcount by role and dress code.
- Confirm the rate. Event shifts bill at an hourly rate with a minimum, quoted before confirmation.
- Get the roster. Names and roles the day before, with a lead who checks everyone in.
- Sign off. Your manager signs hours at the end of the shift and you get one invoice.
What affects the price
- Role and skill level. Bartenders bill higher than greeters.
- Notice. An order placed the day before costs more than one placed two weeks out.
- Shift length and whether it runs past midnight.
- Uniform and training requirements.
- Volume. Recurring weekly orders bill lower than one-offs.
You get the bill rate or placement fee in writing before anyone starts.
Season and events in Tampa Bay
The Tampa Bay calendar stacks from January to April: Gasparilla, spring training in Tampa, Clearwater and Dunedin, the Florida Strawberry Festival in Plant City, spring break on the beaches, and convention season downtown. Hotels, caterers and venues all staff up at once, and the ones that lock in crews in December get the experienced people. Summer brings conferences and weddings, and a hurricane watch can cancel or double an event's staffing with a day's notice.
Common questions
How much notice do you need for an event?
A week is comfortable for most rosters. Next-day orders are filled when the bench allows, at a premium.
Do staff have food handler training?
Food service workers have current Florida food handler training, and bartenders have responsible-vendor training. Certificates are on file.
Can we request the same people back?
Yes. Regular clients build a preferred list and the recruiter schedules from it first.
What do staff wear?
Standard is black pants, black shoes and a white or black shirt. Other dress codes are fine with notice.
